How we handle your WhatsApp messages

If you write to Pepin’s WhatsApp number, this is what happens to what you tell us. This is the short version; the full privacy policy is here: Privacy Policy

  1. 1. Who replies

    PEPIN GmbH ("Pepin"), St. Gallerstrasse 45, 8853 Lachen SZ, Switzerland. If we do not have you on record yet, the first reply is automated: a program that asks, if needed, which language you prefer; then what you need and, if you ask for an appointment, your name so it can send you the booking link. It does not give advice; after that, a person from the team takes over. If we already know you, a person replies directly.

  2. 2. What we keep

    Your number, your WhatsApp profile name, the messages (yours and ours), the photos and PDFs you send us, and the date and time of each message, including whether ours have reached you and whether you have read them. If we did not know you, we use this to open a contact record so that we can help you. We do not listen to voice notes or transcribe them.

  3. 3. What for

    To help you, book your appointment, receive your documents and prepare our advice. Nothing else: we do not use it for advertising and we do not sell your data.

  4. 4. Nothing medical here

    WhatsApp is not the place for diagnoses, treatments or medical reports. We do not need them to book your appointment or open your file, and we would rather health data did not travel through this channel.

  5. 5. Who sees it

    The Pepin team, from our internal application. If you ask us for offers, the data and documents needed are passed to the insurance companies we request them from, sometimes through a broker pool. Your messages and files are stored in our database, hosted in the European Union. On the way, they are carried by WhatsApp, part of the Meta group (parent company in the United States): it does so on our behalf and may process them in the United States and in other countries.   6. 6. How long

    If the conversation is not linked to a client record, it is deleted automatically, with its messages and files, 24 months after the last message. If you become a client and we link it to your file, it stays there and follows the rules of the full policy. The contact record is not deleted with it: if you want us to delete it, just ask. Our backups, which are encrypted and exist only so that we can recover from a failure, keep the messages for up to 7 more days and the files for longer: the file backup is not yet pruned automatically.

  7. 7. Your rights

    You can ask us for access to your data, or to correct or delete it, by writing to info@pepin.swiss. If you are a client, there is documentation the law requires us to keep; the full policy explains that limit.
